Terms of Service

These terms govern your use of DullDocs ("we", "us", "our"), a nursery compliance software service accessed at dulldocs.com. By creating an account, connecting a cloud folder, or running a Readiness Snapshot, you agree to these terms on behalf of your setting or group ("you", "your").
1. What DullDocs provides
DullDocs is a compliance-first software service for UK nurseries and early years settings. It connects to cloud storage you nominate (OneDrive, SharePoint, Google Drive and, on request, Dropbox, Box or Egnyte), classifies the documents you already hold, and produces:
- a red/amber/green readiness score with a gap count;
- an itemised requirements matrix (staff DBS, right to work, training, paediatric first aid, policy acknowledgements, statutory records and similar) with expiry tracking;
- reminders, action plans, calendar exports, mobile upload links and inspector-ready readiness reports;
- role-based access, an immutable audit trail, and data export and deletion tools.
2. What DullDocs is not
DullDocs is a document tracking and reporting tool. We are not your safeguarding lead, DPO, HR advisor, legal counsel, fire-safety advisor or Ofsted inspector, and we do not certify compliance with the EYFS statutory framework, the Childcare Register, or any other regulatory regime. You remain responsible for your legal and regulatory obligations and for the accuracy of the documents you upload or connect.
3. Plans, pricing and billing
Current plans:
- Readiness Snapshot - free, one-off diagnostic. No card required.
- One plan - launch-price ladder billed per setting per month (or annually with 2 months free). The first 100 paid settings lock £19 per setting per month for life; the next 100 lock £29; after that the standard price is £39. Unlimited users on every subscription.
- Group - from £29 per site / month, billed annually. 2-5 sites: £34/site; 6-15 sites: £29/site.
- Enterprise - custom, billed annually, for 16+ sites.
Prices shown are the full price. DullDocs is not currently VAT-registered; when we do register, we absorb VAT for settings on locked-cohort pricing. The plan is month-to-month with no minimum term. Group and Enterprise are annual contracts. Fees are billed in advance via our payment processor. Failed payment may result in service suspension after reasonable notice.
4. The free Readiness Snapshot
The Readiness Snapshot is provided free of charge for a single site and one user. It returns a readiness dial and gap count based on a static, timestamped view of your connected folder. It intentionally does not include itemised requirement dates, fix recommendations, evidence-pack export or ongoing monitoring - those sit on the paid plans. We reserve the right to rate-limit or withdraw the free snapshot for abusive or automated use.
5. Trials, cancellation and refunds
You can cancel the plan at any time from your account; cancellation stops the next renewal and access continues until the end of the current billing period. Group and Enterprise annual contracts are non-cancellable mid-term unless we materially fail to provide the service. Except where required by consumer law, fees already paid are non-refundable. Locked-cohort pricing is grandfathered while your subscription stays active; if you cancel and later resubscribe, you rejoin at the current ladder step. If a paid feature is unavailable for a prolonged period due to our fault, contact us and we will apply a pro-rata credit.
6. Your data and your folders
You grant DullDocs read-only access to the specific folders you connect. We do not take custody of your files - documents remain in your OneDrive, SharePoint or Google Drive tenant. Metadata (file names, categories, expiry dates, audit events) is stored in the DullDocs platform to power the register, reminders and reports. You can revoke folder access, export your data, or request deletion at any time. Full detail is in our Privacy Policy.
7. Acceptable use
You agree not to: upload content you do not have the right to process; use DullDocs to store payment card data or other content outside the scope of nursery compliance evidence; attempt to reverse engineer, resell or white-label the service without a written agreement; or use the service to harass, defraud or breach the rights of others (including children, parents or staff whose records you hold).
8. Users, roles and staff invitations
Plans include a stated number of admin users and unlimited staff invitations for the purpose of policy acknowledgements and document uploads. You are responsible for the actions of every user you invite, for keeping credentials secure, and for removing users who no longer need access. We may suspend individual users who breach these terms.
9. Service availability and changes
We aim to keep DullDocs available 24/7 but do not guarantee uninterrupted service. We may release, change, deprecate or remove features at any time, and will give reasonable notice for material changes that reduce functionality on a paid plan. Planned maintenance is scheduled outside UK working hours where possible.
10. Third-party services
DullDocs integrates with third-party providers (including cloud storage, email delivery and payment processing). Your use of those services is governed by their own terms. We are not responsible for outages or data handling by those providers, but we will act promptly to address any impact on your service.
11. Intellectual property
DullDocs, its software, templates, methodology and brand are owned by us. You retain all rights to the documents and evidence you connect. You may use readiness reports and exports internally, share them with your Ofsted inspector or auditors, and reproduce them for regulatory purposes; you may not resell or publicly redistribute them without our written consent.
12. Liability
To the fullest extent permitted by law, our aggregate liability to you under or in connection with these terms is limited to the fees you paid to us in the twelve months preceding the event giving rise to the claim (or, for free-tier users, £100). We are not liable for indirect or consequential loss, loss of profits, loss of goodwill, or the outcome of any Ofsted inspection or regulatory action. Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be limited.
13. Termination
You may terminate your account at any time as described in section 5. We may suspend or terminate your account on notice for material breach of these terms, non-payment, or where required by law. On termination we will make your data available for export for at least 30 days, after which we will delete it in line with our retention schedule.
14. Changes to these terms
We may update these terms from time to time. We will notify account holders by email or in-product notice of material changes at least 14 days before they take effect. Continued use of DullDocs after the effective date constitutes acceptance.
15. Governing law
These terms are governed by the laws of England and Wales, and disputes are subject to the exclusive jurisdiction of the English courts.
